Project Background

A Turkish grocery chain operating in Vienna was preparing weekly campaign flyers on a regular basis. However, the entire process was handled manually: collecting price lists from suppliers, editing product photos, designing the flyer layout, and distributing it to customers took an average of 2 business days. Campaign information was shared through WhatsApp groups, and it was impossible to track which branch was implementing which campaign.

Analysis and Planning

In the first step, we conducted a detailed analysis of the existing workflow. Through interviews with store managers, we identified that the biggest time losses occurred during the product information collection and flyer design phases. Additionally, price inconsistencies arose because campaign details reached branches late. We designed an automation solution that addressed the root causes of these problems.

Technical Solution

The system we built on the n8n automation platform consisted of three main components:

1. Product Information Entry Panel: We created a web interface where the store manager could easily enter campaign products, their prices, and discount rates. We also supported uploading supplier price lists in Excel format.

2. Automatic Flyer Generation: The entered product information was automatically transformed into professional flyers by our AI-powered design engine. Product images were pulled from the database and placed into brand-consistent templates. The system produced print-ready PDF flyers and digital versions.

3. Distribution and Notifications: Prepared campaign information was automatically sent to all branches, employees, and registered customers. Branch-specific stock information was updated, and real-time reports were generated throughout the campaign period.

Implementation Process

We brought the system to life in a 3-week sprint period. The first week covered infrastructure and data integrations, the second week the flyer generation engine, and the third week the distribution and reporting modules. After piloting at one branch, the system was rolled out to all locations.
